MIS PTA Monthly Meeting February 2024
Date: February 20th (Tuesday)

From the Event Committee
Regarding the Teacher and Staff Appreciation Potluck scheduled for February 22nd. Preparations are going well, and there are currently 52 types of food registered to be brought. As for the number of people for preparation and cleanup on the day, there are 10 volunteers, so there should be no problem.
From the IT Committee
The current domain (mispta.com) is contracted with Namecheap and is connected to Google Workplace through Namecheap. It was still tied to the payment information of the former IT committee member, but the switch has been successfully completed. In addition, the following two points were confirmed at the meeting today.
For future contracts, for the sake of convenience and cost, we will switch to a direct contract (annual) with Google Workplace.
The domain usage fee has been paid by the former member until 2026 (amount unknown). Although the former member has commented that it is okay to treat the amount he paid in advance as a donation, we will make a request for settlement again.
We also have an annual account contract with Zoom, and Mr. Kimura is settling it with a credit card. The next renewal is in June 2024, so it was confirmed that we will renew it at the same time every year, regardless of the term.
About the PTA General Meeting
The term of the PTA is from March to the next February. Since some parents of G6 students will leave PTA in March, we have an irregular settlement period. The PTA general meeting is held every March and May, and this will be the last general meeting of the 2023 school year. It is scheduled to be held from 12:15 to 13:15 on March 5th.
The resolutions are as follows.
Approval of the financial statements for the school year 2023
Approval of the officer system for the school year 2024 (already decided)
Amendment of the bylaws (already decided at the PTA officers' meeting in December)
In addition to the above three points, how about adding the collection time of the PTA membership fee to the bylaws? There is a mention of the amount in Article 8 of the PTA Bylaws, but there is no clear mention of the withdrawal time.
→The last withdrawal was in January, so there is a little concern that the interval for collection might be short, but I don't think there are any parents who strongly resist. I would like to stipulate either in June with the second semester tuition fee or in March with the first semester tuition fee, as there are many cases where people move out in July.
→ As all nine attendees on the day approved, it was decided to propose it to the PTA general meeting.In addition to the above proposals at the general meeting, each committee will report on their activities. The report should be about 3 minutes. If the PIC would be absent, please adjust within the committee in advance.
At the next general meeting in May, the new members will need to set a budget and get approval. Since there is also a need to report on activity plans, etc., be careful as preparations will need to be made in a short period of time.
Others
Regarding flowers for the graduation ceremony, the order itself will be placed, but the budget will be allocated from the 2024 fiscal year budget.
The next meeting is scheduled for April 16th (Tuesday) from 12:15 to 13:15.

イベント委員会より
2月22日実施予定のTeacher and Staff Appreciation Potluckについて。準備は順調に進んでおり、食べ物の持ち寄りも現時点で52種類の登録がある。
当日の準備・片付けの人数についても、ボランティアは10名いるので問題なさそう。
IT委員会から
現在のドメイン(mispta.com)はNamecheapと契約しており、Namecheapを通じてGoogle Workplaceへ接続されている。IT委員会前任者の決済情報に紐づいたままであったが、今般切り替えは無事完了。加えて、本日席上にて以下2点を確認。
次回以降の契約について、手続きの簡便性、および金額面から、Google Workplaceと直接契約(年間)に切り替える。
ドメイン使用費については前任者が2026年分まで支払い済(金額不明)。前任者が立替していた分について、前任者からは寄付扱いでよいとコメントがあるものの、あらためて精算の申し入れを行う。
Zoomについても年間でアカウント契約しており、現在木村会長がクレジットカードで精算している。次回更新は2024年6月なので、任期にはこだわらず毎年同タイミングで更新していくこと確認。
3. PTA総会について
PTAの任期は3月~翌2月。卒業してしまう父兄もいるため、変則的な決算期としている。PTA総会は毎年3月と5月に行うことになっており、今回が2023年度期の最後の総会となる。3月5日12:15~13:15に開催予定。
決議事項は以下の通り。

上記3点に加え、PTA会費の徴収時期を規約に追加してはどうか。PTA規約第8条には金額の記載はあるが、引き落とし時期は明記なし)
→前回引き落としは1月だったので、徴収の間隔が短いことは若干気になるが、強い抵抗を示す保護者はいないと思う。2学期の学費と共に6月引き落とし、もしくは、7月に引越等でいなくなるケースも多いため1学期の学費と共に3月に引き落とし、どちらかで規定したい。
→当日出席者9名全員の承認を得たため、PTA総会へ付議することとする。総会では上記議案に加え、各委員会にて活動報告を行う。3分程度でまとめていただけるようお願いする。欠席の場合は事前に委員会内で調整すること。
次の5月の総会では、新メンバーにて予算を立てて承認を取る必要あり。活動の予定等も報告の必要があるため、短い期間で準備することとなるため気を付けること。
その他
卒業式でのお花について。発注自体は実施するが、予算としては2024年度の予算から拠出する。
